Ultimate Software (Nasdaq:ULTI), a leading provider of end-to-end strategic human resources, payroll, and talent management solutions, announced today that Vaughan Foods, a manufacturer and distributor of fresh-cut vegetables, prepared fruit, gourmet soups, and refrigerated salads in the Midwest, Southeast, and Southwest, has consolidated and improved the efficiency of many HR processes since deploying UltiPro Workplace for human capital management (HCM)—including recruitment, HR, payroll, benefits, and time management.
Previously, Vaughan Foods had been experiencing costly data inaccuracy, lack of integration, and service problems while using a payroll service bureau. Unable to resolve these issues, Vaughan’s HR executives selected UltiPro in 2008 for greater HCM capabilities. Since going live earlier this year, the company has:
- Cut payroll processing time by more than 50%, giving HR associates more time for other key projects
- Streamlined time management
- Improved data integrity
Payroll is one of the most detail-laden responsibilities for many organizations. Since migrating to UltiPro Workplace, Vaughan’s HR team is spending less time on payroll and more time concentrating on new projects that are adding value to the business. HR staff members, for example, have been able to automate processes like the employee co-pay deduction — an undertaking that required resources they didn’t have without UltiPro. With the time savings generated from automated tasks, Vaughan’s HR group has been able to institute an on-site healthcare clinic.
“Choosing UltiPro Workplace is the smartest thing we have done at Vaughan Foods since I’ve been here,” said Dani Shields, corporate director of human resources. “It took two days to complete payroll using our previous system. Over time, we’ve nearly doubled our employees, but even with an increased number of people, payroll takes us less than one day with UltiPro Workplace.”
Vaughan also attributes much of the increased efficiency and time savings to UltiPro’s time management feature. With UltiPro, companies don’t need to decipher, complete, and manually input data from paper timecards. Instead, employees record time electronically, and managers review and approve it using manager self-service. Workflow like this makes time-keeping data available for payroll quickly, and the overall result is a streamlined process for all employees. Additionally, UltiPro’s electronic time management functionality generates better metrics to help gauge workforce trends and monitor labor costs.
“Ultimate’s time management solution is easy for employees to use. Managers can quickly gain access to information with very little time out of their day,” said Shields.
Amid a growing employee base, Shields credits UltiPro for streamlining the new-hire process and improving data integrity. Candidates can apply online using UltiPro’s recruitment feature. Once hired, an applicant’s personal information, including equal employment opportunity (EEO) status, is moved effortlessly into the other relevant areas of UltiPro, such as core HR, payroll, and benefits enrollment. There’s no re-entry of data; it’s in the system on day one of hire. And administrators in remote locations can enter new-employee information into UltiPro using step-by-step instructions that ensure no details are omitted.
“The ease of putting new employees into the system has also made our work more effective and accurate. With our previous system, we had payroll errors weekly,” said Shields. “Now with UltiPro Workplace, we don’t have those discrepancies. It’s just a real pleasure to work with.”
When seeking a new HCM solution, Shields wanted responsive customer service. Since moving to UltiPro, Shields has found confirmation of Ultimate’s industry-leading reputation for providing high-quality customer support.
“Unlike our previous service bureau, UltiPro Workplace has one log-on, which makes it so much easier to use, and an assigned customer service representative to support Vaughan, giving us personal and prompt attention,” said Shields. “Ultimate’s support team members are enormously responsible — they care about our business, care about us, and care about our employees.”
“We’re very pleased that by unifying Vaughan Foods’ processes for HR, payroll, recruitment, and time management in one HCM solution, the human resources team is operating more efficiently and with less stress using UltiPro Workplace,” said Chris Phenicie, vice president of UltiPro Workplace for Ultimate Software.
