Ask a salon owner how they’re actually running their business day-to-day, and most will still describe some version of a paper book, a shared spreadsheet, or a front desk person who’s become the human glue holding the whole operation together. Neeraj Gupta, Founder and CEO of Salonist, has spent close to a decade talking to owners like this, and he thinks that setup is finally starting to break under its own weight.

In a recent conversation with the press, Mr. Gupta expressed how artificial intelligence is actually helping not only to curate the best salon software, but is already showing up in day-to-day scheduling and staffing decisions.

Why the Old Playbook Is Running Out of Road

Owners face the same problem everywhere. Customers who make appointments but fail to turn up, staff schedules based not on customer demand but on gut feeling, and front counters that are either swamped on Saturdays or empty on Tuesdays.

“The customer-facing side of salons has gone digital fast. Instagram, online booking, reviews, all of it,” Gupta said. “But walk into the back office, and a lot of that same salon is still running on a 2010 calendar.”

The Cost of Guesswork

None of this shows up as one big dramatic loss, he added. It’s a stylist sitting idle for forty minutes, a client who couldn’t get booked same-day and quietly tried a competitor instead. Small leaks that add up over a year without ever making it into a report anyone actually reads.

Neeraj Gupta’s Vision: AI as a Quiet Partner, Not a Replacement

Some people in the industry worry that automation strips away what makes a salon feel personal. Gupta doesn’t see it that way, and he’s fairly direct about pushing back on the idea.

“When I get asked if AI is going to come and take over the front-desk position or the stylist’s job, it’s not,” he said. “What it does do is take care of the fifty little decisions no one wants to make every day by hand so they don’t have to worry about anything but the client in the chair.” This point he emphasized, saying that the salons he speaks to most frequently are not looking to cut down their staff, but rather to retain their staff.

From Reactive Scheduling to Predictive Operations

According to Mr. Gupta, scheduling is the place where the transition will be the most evident. The difference between having a calendar that simply keeps track of what has been scheduled before and having a system capable of recognizing demand trends, predicting a potential no-show, and scheduling staff accordingly is the difference between forecasting and filing. 

What This Means for Salon and Spa Owners Today

Salonist currently works with thousands of salons, spas, and wellness companies operating in over 60 countries, and Gupta claims to see this conversation transition into something that the owners are now considering seriously.

Adoption Will Be Gradual, and That’s Fine

“Nobody needs to flip a switch overnight, and honestly they shouldn’t try to,” Gupta said. “Start with whatever’s hurting the most. For some owners that’s no-shows. For others it’s staffing. For a lot of them it’s just losing track of what their regular clients actually want.”

He also noted, almost as an aside, that it’s rarely the biggest chains leading this shift. More often it’s independent owners with a handful of locations, trying to compete without hiring an entire back-office team to do it.

Neeraj Gupta’s closing point was less a prediction than a plain observation: the technology isn’t experimental anymore. The owners who treat it as part of how the business runs, rather than a feature they’ll get to eventually, are the ones who’ll be setting the pace a few years from now.
